Budgeting Beyond Machine Price: Tooling, Installation, Training

Tooling, installation plus training typically add 20-40% on top of a CNC machine price. Build a realistic total budget before you request quotes.

A buyer compares two quotes, picks the cheaper machine, and then discovers the real cost of getting it running. Tooling, installation and training typically add 20 to 40% on top of the machine price. If your budget stops at the FOB number, you have budgeted for a machine that cannot yet make parts. Here is how to build a complete number before you request quotes.

Start from realistic machine prices

Approximate FOB price bands from 2025-2026 trade listings give you a starting frame: entry 3-axis VMCs with a Chinese control run about USD 18,000 to 40,000, mid-range VMCs with Fanuc or Siemens controls about USD 45,000 to 90,000, heavy gantry machining centers USD 150,000 to 450,000, and 5-axis machining centers USD 100,000 to 300,000. On major platforms, mainstream VMC850-class configurations cluster around USD 20,000 to 33,000 ex-works. These are market ranges, not quotes; treat every specific machine as its own negotiation.

What the extra 20 to 40% covers

Tooling and workholding

The biggest and most underestimated line. Holders, collets, face mills, end mills, drills, vices, clamps and probes. A VMC arriving with zero tooling is common, and a basic tooling package for production work costs real money. Small-diameter tools for fine work are especially easy to underestimate.

Installation and site work

Foundations or leveling pads, unloading with a forklift or crane, rigging into position, electrical connection and commissioning. Confirm who pays for the engineer's travel if on-site commissioning is included. Tropical sites should also budget a voltage stabilizer, since fluctuation is a common cause of drive faults.

Training and spares

Operator and programmer training, and a starter spares kit: fuses, filters, wipers and tool changer components. Downtime waiting for a USD 10 fuse is the most expensive part in your shop.

Import-related costs

Duty and VAT depending on your country: Vietnam applies 10% VAT on CIF plus duty, Indonesia 12% VAT in 2026 plus withholding, Thailand 7% VAT. Third-party pre-shipment inspections by firms such as SGS or BV cost roughly USD 500 to 1,500 if you use them. Demurrage from paperwork delays can run on the order of USD 1,200 per day, which is why document readiness belongs in the budget conversation.

Where buyers overspend and underspend

Buyers overspend on machine capacity they will never load and underspend on tooling quality, fixturing and training, which are the three things that actually determine part quality and cycle time. A well-tooled mid-range machine beats a badly-tooled bigger machine every week of the year.

Another quiet budget killer is the "small stuff" that was never written down: coolant, way lube, air supply quality (most spindles want clean, dry air at a stated pressure), scrap bins, and even lighting around the machine. None of these lines is large alone, but together they routinely surprise first-time buyers by several thousand dollars. List them explicitly in your spreadsheet and the surprise disappears.

A simple budgeting method

Take the quoted machine price and add: 10 to 15% for tooling and workholding if you are starting from zero, 5 to 10% for installation, rigging and electrical work, 3 to 5% for training and starter spares, and your country's duty, VAT and freight on the CIF value. For Indonesia, remember the SNI process also carries certification and audit costs. The total, not the FOB figure, is the number that decides whether the purchase makes business sense.

Ask for the complete picture

When you request quotes, ask suppliers to itemize: machine FOB price, recommended tooling package, commissioning scope, training, packing and any optional equipment such as a chip conveyor or angle head. VITOP Machinery supports full OEM and ODM configurations and can quote the package rather than just the machine. Send your drawings, ask for a complete landed-cost estimate for your port, and compare suppliers on the total. The machine price starts the conversation; the total budget wins it.
