Quality Traceability: What Your CNC Builder Should Record

Serial number, casting batch, laser compensation, ballbar plots. The records a serious CNC builder keeps for every machine and why they protect you.

When a machine runs 0.01 mm out of position two years after delivery, the difference between a fast fix and a months-long argument is paperwork. Quality traceability means the builder can look up your serial number and show what was measured, adjusted and verified before that machine left the factory. Serious builders keep these records for every machine. Here is what should exist, and what to ask for.

Records That Should Exist for Your Serial Number

  • Casting batch and ageing records: the casting your machine was built from, its resin-sand pouring batch and its double ageing treatment dates. Foundation quality decides whether accuracy holds for years or drifts in months.
  • Guideway work: scraping and matching records for hand-scraped guideways, including the contact point counts achieved. This is craft data, and it is what separates rebuilt accuracy from brochure accuracy.
  • Assembly checkpoints: pre-load values on bearings and ball screws, spindle run-in results and torque checks.
  • Laser interferometry results: linear positioning measurements per axis, plus the compensation values entered into the control afterwards. Every machine we ship is laser-verified before delivery, and the compensation data belongs in your file.
  • Ballbar report: circularity test plots showing servo mismatch, backlash and squareness across the X-Y, Y-Z and X-Z planes.
  • Geometric test report: the ISO 10791-series tests run on the actual machine, signed by the inspector who ran them.
  • Packing and dispatch inspection: what was checked, protected and loaded, with photos if you ask.

Ask for Reports of Your Machine, Not a Sample

An honest test report names the serial number. Some suppliers hand buyers a copy of a report from a twin machine or a template with round numbers. Before you pay the balance, request the full report set for your machine: laser data before and after compensation, the ballbar plots and the geometric test results. If the numbers look too perfect, ask to see the raw printouts or join the test by video call.

Why Traceability Pays You Back

Warranty claims move at the speed of evidence. With the ballbar report in hand, you can prove a squareness value at dispatch and compare it with an on-site ballbar test, which settles most accuracy disputes in one conversation. Traceability also matters for spares: knowing the exact spindle, ball screw and drive models fitted at assembly prevents the wrong part being ordered in an emergency. And when the machine eventually resells, a complete test file raises its value, because the next buyer can see what it was when it left the factory.

Keep your own copy organised as well: one folder per machine, holding the quotation, final configuration sheet, test reports, packing list and commissioning notes. Spare a thought for the countersink depth you argued about; traceable records settle arguments quickly. When a new maintenance engineer joins, this folder shortens their learning curve from months to days, and when you add a second machine, the configuration sheet becomes the starting point for the next quotation.

What to Confirm Before You Order

Ask the builder three questions: which tests are standard on every machine, how long records are retained, and whether you receive digital copies at shipment. VITOP keeps these records as standard practice; every machine is laser-verified with interferometry and ballbar testing before it ships, and the reports travel with the machine. If a supplier hesitates on any of the three questions, treat that as data too.
