The Paper Trail That Ships with Your CNC Machine
Manuals, test reports plus certificates that ship with an exported CNC machine: what each one is for, how to check them before the container leaves.
Most buyers inspect the machine. Few inspect the paper. Yet when your container reaches customs, or when your first service call happens two years later, the paperwork in that crate decides how smoothly things go. Here is what should ship with an exported CNC machine, and what to check before it leaves the factory.
Why Paper Matters at Customs and at Commissioning
Two very different readers open your machine's documents. The first is the customs officer, who cares about invoices, packing lists and certificates of origin. The second is your maintenance team, who care about manuals, wiring diagrams and test data. A missing item on either side costs time: detained containers run up demurrage, and undocumented machines turn every later repair into guesswork.
The Manuals That Should Be in the Crate
- Operation manual for the machine, plus the control maker's own manual for the CNC unit.
- Maintenance manual with lubrication points, intervals, and recommended fluids and greases.
- Electrical and pneumatic diagrams matching the machine as built, including any options you ordered.
- Parts book with exploded views and part numbers, so you can order spares by number instead of by photo.
- Parameter and PLC lists for the control. If a battery fails and parameters are lost, this printout saves your machine.
Ask for English versions. Many Chinese factories ship manuals in Chinese by default; an English set is normally available if you request it at the order stage, not at packing time.
Test Reports That Prove What You Bought
A serious builder tests every machine before shipment and puts the results on paper. Ask for:
- Laser interferometer results for positioning accuracy on each axis.
- Ballbar test charts showing circularity and contouring performance.
- A geometric test report following the ISO 10791-series tests for machining centres, filled in for the actual machine with your serial number, not a sample sheet.
Check that the serial number on the reports matches the nameplate on the machine. A report without a serial proves nothing about the unit in your container.
Trade Paper and Certificates of Origin
The commercial invoice, packing list and bill of lading travel through your forwarder. The certificate of origin is where buyers lose money. For ASEAN imports, Form E lets many CNC tariff lines drop to 0-5% under ACFTA, against typical MFN rates of 5-10%. Form E must be issued by the supplier through CCPIT before or at shipment; there are no retroactive claims, and customs accept originals only. In Vietnam, savings on a USD 50,000 CIF shipment run to roughly USD 2,750. If Form E applies to your market, confirm the builder has applied for it before the vessel sails.
Also include a copy of the factory's ISO 9001 certificate and, where relevant, CE conformity papers for the export configuration.
Check the Paper Before the Container Closes
The right moment to review documents is at the factory acceptance test, before packing. Request scans of every item in the list above and read them against the machine in front of you. If you cannot travel, ask a third-party inspector to photograph the nameplate and the signed reports. After the container is sealed, corrections mean rework, delays and sometimes fees.
File It for the Years That Follow
Keep the full set, paper and PDF, with your machine's serial number. When you sell the machine, move it, or expand the fleet with a matching unit, that file becomes the reference for spares, retrofits and resale value. A machine with its complete paper trail simply commands a better price.
