How to Audit a Chinese Machine Tool Factory: On-Site, Remote

A factory audit separates real builders from traders. Here is what to check on site, plus remote methods when travel is not an option.

Before wiring a deposit for a CNC machine, you want to know who is actually building it. Is the supplier a manufacturer with a foundry, machining shop and assembly hall, or a trading company reselling from someone else's floor? A structured factory audit answers this in a day on site, or in a couple of hours remotely if travel is not practical. Here is how experienced buyers do it.

Start With What You Can Verify From Your Desk

Before any visit, pull together the basics. Check business registration and how long the company has operated; a builder with 13+ years in the trade has a track record you can cross-check. Look for ISO 9001 certification as a minimum, and treat ISO 14001 and ISO 45001 as signals of a managed operation. Review the product range: a maker of gantry machining centers, VMCs, lathes and EDM machines that also claims to cast its own beds is telling you where its factory sits. Vague product pages with stock photos from other brands are an early warning.

On-Site Audit: The Walkthrough That Counts

If you visit, resist the showroom. Ask to start at the back of the plant and work forward.

  • Foundry or casting storage: do you see castings, moulds or recently machined beds? At VITOP, for example, HT300 resin-sand castings, machining and assembly sit under one roof on a 30,000 m2 base. The presence of raw castings with the company's rib patterns is hard to fake.
  • Machining shop: look for large CNC gantry mills and boring machines doing structural work in-house. A factory that machines its own guideway surfaces controls its own accuracy.
  • Assembly hall: count machines in assembly and look for order labels in different languages. Consistent export activity shows here first.
  • Metrology room: this tells you the most. Look for laser interferometer, ballbar system and granite surface plates. Ask to see recent test reports with serial numbers on them.
  • Scrap and rework area: a small, disciplined rework area is normal. No rework area at all usually means problems leave with the machines.

Remote Audit: What Actually Works

When you cannot travel, a live video walkthrough beats a thousand photos. Set rules before the call: continuous footage, no cuts, and you direct where the camera goes. Ask the host to open electrical cabinets, show the metrology room and read a recent test report aloud with the serial number. Then request a live machine run on a sample part. Most traders cannot produce this; most factories can within a week.

Also ask for scanned certificates and verify certificate numbers against the issuing body's public database. Counterfeit ISO certificates exist, and the check takes minutes.

Third-Party Audits

If order value is high, bring in a professional eye. Firms such as SGS or BV conduct supplier audits and pre-shipment inspections in China, typically costing several hundred to about USD 1,500 depending on scope. They verify registration, quality system, production capability and shipping readiness, and the report gives you an independent baseline for later disputes. For a machine order worth tens of thousands of dollars, this is cheap insurance.

Red Flags That End the Conversation

  • No factory address you can find on a map, or a residential address on the invoice.
  • Prices far below the market band with no explanation of what was removed.
  • Refusal to show live machines running or to provide test reports.
  • Pushy payment terms: high deposits, full payment before any test, or personal accounts.

An audit is not about distrusting suppliers. It is about spending thirty minutes of preparation to protect a purchase that will run in your shop for a decade. Serious builders, frankly, welcome it.
