Spare Parts and After-Sales: Questions That Decide CNC Ownership Cost
The concrete questions about spare parts stock, response time, remote diagnostics and local engineers that decide your real CNC machine ownership cost.
A CNC machine is a long relationship, not a transaction. The machine itself is only half of the deal. The other half is how fast you can get a spindle seal on a Friday afternoon, whether someone answers WhatsApp in your timezone, and how much a replacement ballscrew will cost in year four. Buyers who probe after-sales support before signing almost always own their machines more cheaply than buyers who chase the lowest ex-works price.
Why after-sales decides ownership cost
Every machine stops eventually. The real question is what one stopped day costs you, and how many stopped days you can prevent. A machine that is US$3,000 cheaper but waits three weeks for a part is the expensive one. Before you sign anything, get written answers to the questions below.
Questions about spare parts stock
- Which consumable and wear parts do you keep in stock, and where? Look for spindle cartridges and bearings, ATC arms and tool pockets, guideway blocks, ballscrews, way wipers, seals, filters and coolant pumps. In stock should mean in your region or shippable within days, not back at the factory.
- Can I pre-order a recommended spare parts kit with the machine? Most builders can quote a first-year kit. Buying it with the machine saves freight and carries you through the early months without a stoppage.
- What are the list prices of the five most commonly replaced parts? Ask for a written price sheet. A supplier who dodges this question is telling you something about the invoices you will receive later.
- Are the parts standard or proprietary? Machines built around common platforms, such as BT40 spindles, mainstream controllers and standard ATC units, keep you independent. Proprietary parts lock you to one supply channel forever.
Questions about response time and diagnostics
- What is your guaranteed response time after I report a fault? A serious exporter commits to same-day remote diagnosis and tells you who responds, in what language, and through which channel.
- Do you support remote diagnostics? Modern controllers allow an engineer to read alarms and parameters over the network. This alone often turns a multi-day service visit into a one-hour video call.
- Do you have engineers in my country, or a local service partner? Ask where the nearest engineer is based and what typical travel time looks like. For ASEAN buyers, an engineer in the region beats one flying in from China for every visit.
- How do you handle faults on nights and weekends? Production does not keep office hours. A shared escalation channel with named contacts is worth more than a brochure promise.
Questions about documentation, training and warranty
- What manuals do I receive, and in what language? You want electrical diagrams, mechanical assembly drawings, alarm code lists and a maintenance schedule. Note that from 1 July 2026, Indonesia requires Indonesian-language fault code documentation and localized maintenance manuals as part of SNI import certification, so this is also a customs question there.
- Is operator and maintenance training included? Ask how many days, at your site or at the factory, and whether it covers basic servicing your own team can perform without calling anyone.
- What does the warranty cover, and what voids it? Twelve months is common. Clarify who pays travel and accommodation for warranty visits, and confirm whether wearing parts are excluded.
A quick scoring exercise
Put the answers in a simple table and score each supplier out of ten on parts availability, response speed, remote support, local presence and documentation. The cheapest machine rarely wins that table. The winner on that table is almost always the cheapest machine to own. At VITOP Machinery, for example, every machine ships with laser and ballbar inspection reports, and technical questions receive a reply within one business day. The full answers to the questions above are available on request.
